How to Create Marketing Case Study: Evidence Guide
How to create marketing case study workflows: define a reader question, permission scope, claim ledger, evidence, review, publication, and upkeep.
What to take away
- Begin with a reader decision and evidence question, then select a subject whose records, permissions, context, and limitations can answer it honestly.
- Build the claim ledger before interviewing so every quote, number, chart, headline, and derivative has a source, owner, method, review scope, and expiry.
- Publish only after independent factual, customer, rights, privacy, accessibility, and claim review, then monitor corrections, reuse, permission, and retirement.
If you are asking how to create marketing case study content, begin with an evidence question, not a success-story layout. Define the intended reader, decision, customer context, and one claim the team can realistically investigate. Check whether the result is representative, unusually strong, or limited. One customer does not predict every buyer's outcome. Use the marketing case study template library to structure the draft.
Secure scope and permission
Agree identities, quotes, data, screenshots, logos, photographs, channels, markets, languages, review windows, withdrawal, and archive treatment. Identify copyright and personal-data owners separately. For advertising claims and endorsements, flag the Federal Trade Commission's (FTC) Endorsement Guides and Policy Statement Regarding Advertising Substantiation for review; for California personal information, ask counsel to assess the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), and any other applicable privacy law. Log unresolved questions about confidentiality or sector-specific requirements for the appropriate reviewer.
Use a written Marketing Case Study Participant Release as the project permissions instrument, not as a universal government form. Record the parties, approved names, quotes, data, and images; channels and markets; term; compensation or other material connection; review scope; withdrawal and archive terms; and signatures and date.
Create the claim ledger
The U.S. Government Accountability Office's Assessing Data Reliability: A Guide for Using and Evaluating Data from Sources Outside GAO defines reliability for an intended use through accuracy, completeness, and applicability, and presents a flexible, risk-based assessment. It is audit guidance, so adapt the principles rather than claiming a marketing audit.
The ledger separates credible marketing case studies from a polished anecdote. Record exact claim wording, source and file location, query or extraction method, population, numerator and denominator, baseline, measurement dates, currency, attribution model, and claim owner before drafting.
Add evidence snapshot, limitation, and expiry. Reconcile platform figures with customer, finance, CRM, sales, service records where suitable; mark estimates and modeled values, not observed facts.
Example claim-ledger row
This illustrative process-claim row is not a customer result; replace it with verified project records.
| Claim | Source and query | Scope and denominator | Dates and currency | Attribution and limitation | Owner and status |
|---|---|---|---|---|---|
| The team completed the revised onboarding rollout. | Project plan and rollout record; check whether approved records show completion. | Project team; numerator and denominator not applicable to an event claim. | Enter verified rollout dates; currency not applicable. | Describes rollout, not business impact. | Assign a claim owner; hold until records are checked. |
Interview and reconstruct
Ask what changed, why it changed, alternatives considered, implementation sequence, failures, other contributors, and lessons. Request documents after the call. Build a timeline covering baseline, rollout, stabilization, measurement, and publication. Preserve uncertainty, and confirm quotes in context instead of manufacturing smooth language from fragmented comments.
Write from evidence outward
Draft the full result statement first: metric, direction, magnitude, comparator. Add population, period, source, method, limitation, and write the headline.
The piece follows order in the marketing case study sections; explain customer context, challenge, decision, implementation, and result, and require an evidence basis for every objective claim, because customer statement alone does not substantiate product performance. Cover other explanations and conditions for adaptation.
Review, publish, and maintain
HM Treasury's updated Magenta Book evaluation guidance defines evaluation as systematic assessment of design, implementation, and outcomes and distinguishes process, impact, and value-for-money questions. It stresses fit-for-purpose methods, early planning, limitations, governance, and quality assurance in a UK government context.
Have independent reviewers trace calculations, compare quotes with notes, inspect implied claims, and verify rights and disclosures. Test the asset against applicable WCAG (Web Content Accessibility Guidelines) criteria, including headings, keyboard operation, screen-reader behavior, link purpose, alternative text, and color contrast; open every link and approve each derivative separately.
Create a Case Study Correction and Reuse Register with the asset, claim, source snapshot, correction or change, approver, owner, review date, permission end, and retirement status. Pair it with an evidence-retention schedule that states the records kept, responsible owner, review trigger, disposition, and legal-hold check; set retention periods according to applicable obligations and documented business need.
Case-study production sequence
| Stage | Required evidence | Stop condition |
|---|---|---|
| Scope | Reader, question, subject, permission | No supportable evidence promise |
| Collect | Ledger, records, interview, timeline | Missing source or unclear ownership |
| Analyze | Baseline, formula, attribution, alternatives | Method cannot support wording |
| Release | Reviews, accessible outputs, derivatives | Material defect or expired approval |
Run a controlled handoff
Package the approved evidence bundle with the final draft, source records, calculation notes, permission record, disclosure decisions, accessibility review, and correction contact. The marketing proposal templates can carry the approved study into a pitch; copy only claims cleared for that use.
For each reuse, log the asset, approved claims, channel, audience, permission scope, owner, review date, and correction status in the handoff record. A study's approval does not automatically clear a different excerpt, audience, or format.
Common questions
Should the interview happen before evidence collection?
Review available records first so the interview can resolve gaps, decisions, and context. Then confirm every material statement against an approved source.
Who should review the final draft?
Use separate factual, customer, claim, rights, privacy, accessibility, and publication reviews as applicable. Record each scope instead of one ambiguous approval.
What if the data cannot support the planned headline?
Change or remove the headline. Never stretch the denominator, comparison, attribution, or customer quote to fit a predetermined story.
